The Administrative Officer plays a key role within the Governance unit, reporting directly to the Senior Governance Support Officer. This dynamic position provides essential administrative and customer service support, ensuring smooth operations across a variety of processes and systems.
Success in this role requires a sharp eye for detail, exceptional time management, and the ability to adapt to changing priorities, all while ensuring the timely and efficient delivery of services that support the work of the Governance team.
You will contribute to a collaborative and supportive team culture, proactively sharing knowledge and assisting colleagues to help meet goals and deadlines. Flexibility is key, as you may be called upon to assist different teams within the Governance unit, depending on the needs at the time.
About the role:
- Respond to staff and public inquiries courteously, resolving or directing them appropriately.
- Assist the Senior Governance Support Officer with tasks such as correspondence registration, meeting preparation, and administrative duties.
- Support the Insurance Claims Officer and Records Management team as needed, including document registration and claims processing.
- Contribute to the development, review, and improvement of administrative procedures and ensure compliance with relevant legislation.
- Maintain and process records in Council’s electronic content management system, including managing agendas, minutes, and reports for committees.

We are seeking:
- Proven knowledge and experience in an administrative role, including proficiency in electronic record management and information systems.
- Excellent written and oral communication abilities, with a focus on delivering outstanding customer service and support.
- Ability to prioritise tasks, manage workloads efficiently, and adjust work plans to meet changing priorities.
- Capacity to contribute effectively within a team, sharing knowledge and providing support during peak workload periods.
- High-level competence with Microsoft 365 applications, a quick learner of corporate systems, and the ability to use initiative to research governance issues and contribute to decision-making and continuous improvement.

This position is based in Murwillumbah and can be directed to work from any Council work site.
